OVERVIEW FOR MODERATORS
A mailing list has 3 classes of members:
- The Owner who sets up the mailing list but does not get involved in the day to day running. The mailing list should be self-maintaining, with people able to subscribe or unsubscribe themselves. The only involvement of the Owner is to add/remove moderators occasionally.
Click here to send an email to the Owner - john@mlshspc.org.au - Moderators (added/removed by the Owner) who are able to send messages to the mailing list. It is good practice to have 2 moderators so that there is a backup. More than 3 (typically) becomes unmanagable.
- Subscribers who receive email that is sent (posted) to the mailing lists.
The role of the moderator is to post and approve/reject emails.
- Compile the email as you would any other. Copy the segments from above and paste them into the email as the footer of the email. The footer contains important information such as how to unsubscribe and where to find out further information on the list and the P&C.
- To post the email, you simply send the email to the respective mailing list address as you would any normal email (see above). Remember, you need to send from the same email address that you used to register as a moderator. If you send the email from the wrong email address, the post will be immediately rejected.
- Shortly after that (typically in terms of minutes), you (a moderator) will receive a confirmation email. At this point, you have the choice to either accept or reject the email. This "closes the loop" to prevent abuse of the list by unauthorised users.
- If accepted, the mailing list manager will then broadcast the message to the rest of the list.
- If rejected, the mailing list manager will not broadcast the message but will sent a reject message to the email address of the post.
- Almost without saying...
As a moderator, part of your role is to "moderate" the list. That is, ensure posts meet appropriate levels of etiquette. The subject matter should be relevant to the subscribers. Language needs to be non-offensive. Emotional emails should be put aside till the next day for review.
